General objective of the position

Under the supervision of the Medical Coordinator, the Pharmacy Manager takes responsibility for defining, coordinating and monitoring all pharmacy-related activities in the Mission, according to INTERSOS standards and values, taking into account national and donor regulations, in order to to ensure the quality and proper organization of the medical supply process, procedures and protocols, the proper management of medical stock in the projects and, in collaboration with the medical team, the correct use of medicines and medical equipment.

Main tasks and responsibilities

  • Ensures recording of all items received and issued in the appropriate electronic or hardware management tool/database and reporting of drug consumptions and medical equipment dispensed according to protocols, informing about unusual patterns and anticipating future needs, in order to rationalize the budget and ensure availability.
  • Assist in training the medical team (doctors, nurses, CHEW, warehouse pharmacist, pharmacy assistants) regarding the dispensing of medications and their side effects.
  • Supports the MedCo in representing and defending the interests of INTERSOS with Donors, the Ministry of Health and other local authorities or local suppliers for any question concerning pharmaceutical supply, in order to ensure the supply of stocks in projects while respecting national laws and donor regulations and following INTERSOS Protocols. Collaborate in the budgeting, forecasting and preparation of orders for drugs and other medical materials with the medical and logistics coordinators.
  • Supports the Medical Coordinator regarding the monitoring of EPREP planning and the maintenance of emergency medical kits.
  • Supports by participating in all drug and medical equipment procurement processes and ensuring its overall efficiency and effectiveness. This involves regular technical visits to project sites to ensure proper monitoring of activities and management of field pharmacies; collect and analyze stock indicators based on physical records and logistics at the various project sites and, in collaboration with the PMR and the medical coordinator, take corrective decisions if necessary and provide technical support to the pharmacy regarding the pharmaceutical information, the use of medicines (protocols and rational use of medicines), the management of side effects, problems of adherence, etc.
  • Ensures data collection for tracking and monitoring the optimal quantity and quality of drug use. Support service-level activities for effective drug distribution and monitoring, quality prescribing (rational drug use), medication reconciliation, antibiotic stewardship interventions such as review of antibiotics for use restricted, monitoring pharmaceutical care plans, patient counselling, good dispensing practices and safe medication practices .
  • Monitors the supply process and takes corrective action if necessary, ensuring regular communication with medical, logistics, HR and finance departments regarding medical supply and pharmacy management. Support the Medical Coordinator to ensure local medical purchases are made from approved sources, subject to Section Pharmacist approval.
  • Be responsible for monitoring loans/donations and managing expired drugs according to INTERSOS procedures (and national legislation in case of expired drugs).
  • Plans and supervises, in close coordination with the HR department, the associated processes (recruitment, training/integration, evaluation, detection of potential, development and communication) of the personnel under his responsibility in order to ensure both the sizing and the amount of knowledge required.
  • Participates in reporting according to INTERSOS guidelines (SitReps, medical statistical reports, etc.) and reporting on drug consumption and medical devices distributed according to protocols, informing about unusual patterns.
  • Ensures storage, inventory management and supply processes, as well as hygiene and safety procedures, tools and protocols, implementing appropriate quality controls and records, to ensure good conditions storage (temperatures, humidity and exposure to light) and the availability of drugs and medications. material, in accordance with national regulations and in cooperation with the logistics department.
  • Ensures an efficient supply of field pharmacies according to orders and stocks, and uses the cold chain when necessary. Follow-up and analysis of orders from pharmacies/user units in dependent areas in order to avoid stock-outs or expired drugs

Job requirements

Professional requirements

  • Essential, Bachelor of Pharmacy (BPharm.).
  • Desirable, studies related to medicine (nursing, public health, health education, etc.).
  • Essential prior experience of at least 1 year in similar or relevant positions.
  • High level computer skills, in particular excellent MS Excel/Word skills
